HOST APPLICATION & REQUIREMENTS
HOSTING A PROVINCIAL CHAMPIONSHIP
Teams interested in hosting a Provincial Championship must submit a completed Championship Host Application. Each host site must be capable of providing one regulation diamond with appropriate field dimensions (outfield fences, backstop, and mounds) for that Category/Division of play (or two diamonds if hosting an eight-team or larger tournament). All teams, including the host, at Provincial Championships will be responsible for paying half of the umpire game fees in games in which they participate. If a 3-man umpire system is used, then each team will be responsible for 1 1⁄2 umpire game fees per game played. The umpire travel and accommodation expenses will be covered by Baseball Alberta.
HOST TEAM RESPONSIBILITIES
Assigning a Host Committee Representative responsible for organizing the event and all off-field activities during the weekend of play.
Providing diamond(s) of the proper size for the category involved (fenced with mounds; mounds not mandatory for 11U/13U Community League only); proper preparation/maintenance/lining of diamonds prior to each game and an effort to keep the field playable if it rains.
Covered dugouts (may use tarps).
Official Program with an approved front cover (with Baseball Alberta logo) (Optional).
List of available accommodations for traveling teams (host hotels, camping, etc.).
List of available restaurants in the immediate vicinity for visiting teams/officials.
Concession provided at the diamond.
Official Scorekeepers assigned for each game (including games that do not feature the host team)
Official Pitch Counters assigned for each game (including games that do not feature the host team)
Providing 3 non-team members to sit on the Protest Committee (with appropriate knowledge of Baseball Alberta rules).
Washrooms available for players, officials, and the public.
Change room or trailer for umpires.
Meeting room for pre-tournament meeting (Optional).
Opening Ceremonies (Optional).
Additional Liability Insurance for Concession/Food Sales (All Divisions and Events).
Liquor License and Liability Insurance for Beer Garden (only allowed at Junior/Senior/Twilite).
Obtaining any required Gaming/Raffle Licenses for 50/50 and/or Raffles utilized for fundraising.
Providing access to water (or providing water to Teams/Officials).
Providing an Emergency Plan (to be included in Tournament Package to each team).
Ensuring Team Photographs are taken (for all teams) and submitted to Baseball Alberta by August 31.
Awards Ceremony at the Conclusion of the Championship for the gold and silver medal winning teams.
Host team may also provide:
Second diamond available for practice or games, if necessary.
Banquet, barbecue, or some other function for players, coaches, and dignitaries.
Championship t-shirt sales and Championship Photography (with Baseball Alberta logo).
Media coverage/announcing games.
Change room for teams if possible.
Additional Individual/Team Awards.
Water for teams, umpires, and volunteers.
BASEBALL ALBERTA RESPONSIBILITIES
Gold and Silver Medals.
Minimum 2 Dozen Official Baseballs of Baseball Alberta (Rawlings) – additional amount based on the number of teams.
Tournament Support (tiebreakers, protests, etc.).
Assigning Umpires.
Umpires will stay double occupancy when needing accommodation at a Provincial Championship unless single rooms have been previously approved by Baseball Alberta.
Baseball Alberta will pay all umpire travel and accommodation expenses for all Provincial Championships.
Championship MVP Awards (as available based on Baseball Alberta sponsorship).
Championship Trophy.
Support to the Host Chairperson via telephone.
PROPOSED HOSTING REGIONS
It is an objective of Baseball Alberta to rotate Championships throughout the Province from year to year to balance the numbers of events for umpiring as well as for the opportunity for communities to host and promote baseball in all areas of the Province. If no host is available or applies out of that region, then Baseball Alberta will have the right to either recruit another host site in that region or award the host site to another team who applied for the hosting opportunity.
